Educational Requirements
- Requires associate degree, related coursework, or equivalent work experience in marketing, communications, business administration, or a related field.

- Insurance industry experience is preferred but not required.
- Experience with Microsoft Office products and general office technology required.
- Experience with website administration, email marketing platforms, social media scheduling tools, or graphic design software is a plus.

Job Summary
The Marketing & Agency Services Coordinator is responsible for supporting the day-to-day operations of the Marketing Department through the coordination of agency services, marketing initiatives, communications, and administrative functions. This role requires strong organizational, communication, and customer service skills to effectively manage multiple priorities while providing exceptional support to agency partners, vendors, and internal teams. Working closely with the Director of Marketing, the coordinator assists with agent appointments, agency contracts, co-op marketing programs, website administration, digital communications, event planning, and departmental projects that support the company’s strategic marketing initiatives. This full-time position is based on-site at our Wausau, WI office.
Primary Responsibilities
- Manage NIPR agent appointments and terminations, ensuring accuracy and timeliness.
- Coordinate and administer co-op marketing programs, including participation tracking and reimbursements.
- Maintain agency contact data and support data integrity across systems.
- Assist with the administration and tracking of agency contracts and agreements.
- Provide back-office support for the company website, including content updates and user maintenance.
- Oversee administration of the company store, including inventory coordination and invoice payment.
- Coordinate marketing events with internal teams, facilities, and external vendors.
- Support development, packaging, and electronic distribution of newsletters and corporate communications.
- Assist in the execution of email campaigns, content scheduling, and digital marketing initiatives.
- Support vendor coordination, invoice processing, and marketing budget tracking.
- Assist with maintaining marketing materials, promotional items, and branded inventory.
- Support agent meeting logistics, registrations, and related event coordination activities.
Additional Duties
- Contribute to process improvements to enhance efficiency within the Marketing function.
- Assist with maintaining department records, documentation, and reporting.
- Support agency onboarding and administrative marketing processes.
- Assist with social media coordination and scheduling as directed.
- Provide support for internal meetings, presentations, and departmental projects.
- Attend training sessions and meetings as requested.
- Perform other duties as assigned by the Director of Marketing.
